How is the diagnosis Performed?
Once you have decided to take advantage of this offer, we ask that you complete a brief form to provide us with information about you, your organization, and your QuickBooks installation. Then you will make a back-up of your QuickBooks data file and send it to us over the internet by use of a web-enabled File Transfer Protocol (FTP) procedure. When we receive your application form information and the data file you will be notified by e-mail. We will then load your QuickBooks data on our system and begin the review. The diagnosis will be performed based on a specific set of potential trouble areas, and a score will be given in each such area. At the conclusion of the review, we will summarize the scores from the various areas reviewed and assign an overall condition to the QuickBooks data. Our procedures will be summarized in a written report that will show the areas assessed, the scores given, and explanations of the effects of any problems noted.
Who does the QuickBooks file diagnosis?
The diagnosis of your QuickBooks data file will be performed by a Certified QuickBooks ProAdvisor, with a supervisory review performed by a second Certified QuickBooks ProAdvisor who has worked with small to medium-sized businesses and nonprofit organizations for over twenty-three years as a practicing CPA. This means that your data file will be personally evaluated by seasoned professionals who have worked with hundreds of QuickBooks installations. Our team has seen a wide range of configuration and transaction errors, and will be using a systematic approach to identify any such problems in your data.
How long does it take?
We will attempt to issue our report on your QuickBooks data within forty-eight hours from your submission; however, the demand for this service and other work responsibilities may cause delays. We will notify you if there is a potential for a delay in completing our review of your data, and give you an estimate of when we will complete the diagnosis.
Can I tell you what I think is wrong?
The application form you submit for the diagnosis has a comment section where you can provide some brief notes to us about your file. We will certainly give any comments consideration, but the nature of this discount-priced service is such that we cannot deviate from our standard program of review. If you want us to make more in-depth assessment of your file in a specific area, then we will require the execution of an engagement letter and a prepayment for the estimated professional time to be incurred.
What about the security of my data?
Of course, we can’t absolutely guarantee that nothing bad could ever happen in the process of sending your accounting data to us for review. However, you will be sending us your data through a Secure Socket Layer (SSL) connection, and your file should already have a password set in order for it to be accessed. We have transferred a large number of files using this technology and, to our best knowledge and belief, there has never been an instance of a file being intercepted or compromised in any manner.
What if I’m just not comfortable sending my data over the internet?
If you are still uncomfortable with this method of delivering your data to us, then there are other options. First, you can mail a back-up of your data on floppy Discettes or a CD-ROM to: Winged Disc Technologies, LLC, 2695 Villa Creek Drive, Dallas, TX 75234-7329. Alternatively, if you are in the Dallas/Fort Worth area of Texas, then we can come to you to perform the diagnosis on site. (On site work is done on an hourly rate basis, with a required prepayment for the estimated professional time to be incurred.)
Can you fix the problem?
In many cases we can fix the problems that may exist in your QuickBooks data file; however, there is a point where the condition of the file is so bad that it may be more prudent to start a new file. This is a judgment call that can be relatively easy to make, or may require an careful analysis of the trade-offs involved and discussion with the business owner or manager. Our report on the health of your QuickBooks data file will include a conclusion regarding the potential to fix any problems that we find; or if we believe you should consider starting a new data file.
